Yes. Transcription and storage run on AWS services covered by a signed Business Associate Agreement. Note generation runs on infrastructure dedicated to this purpose, specifically to avoid sending PHI to general-purpose third-party AI APIs that don't have a BAA in place.
We retain all medical audio files and transcription records for a maximum of 30 days from the date of service to allow for quality assurance, corrections, and customer verification. After this 30-day retention period, all audio files and associated documentation are permanently and securely deleted from our systems on a monthly basis. This ensures your sensitive health information is not stored longer than necessary while maintaining compliance with HIPAA and other applicable privacy regulations. If you require retention of records beyond the standard 30-day period, please contact us in advance to discuss alternative arrangements.
Your monthly price includes a set number of dictation minutes — 1,000 on Solo, about 165 typical notes. If you go over, the extra minutes are billed at a low per-minute rate, shown clearly on your invoice. Most physicians never see an overage line at all.
